Statement of Work for gWorks Cloud Onboarding Services
Executive Summary
This Statement of Work is between GIS Workshop, LLC d/b/a gWorks ("gWorks") and the Client executing an Order that incorporates this SOW. This SOW outlines the Services and Deliverables to be provided by gWorks pursuant to the applicable Order and Master Software & Services Agreement (MSSA), defining the scope, responsibilities, and parameters for Client onboarding into gWorks Cloud software (including but not limited to gWorks Cloud Hubs such as Finance Hub, HR Hub, Utility Billing Hub, Operations Hub, Maps Hub, etc.). Capitalized terms not defined herein have the meaning ascribed in the MSSA
Client Partnership and Responsibilities
gWorks' goal is to onboard you into our Software as efficiently and effectively as possible. Successfully achieving this goal requires a collaborative effort and depends on the active participation of the Client.
The Client must provide gWorks with requested source data, such as General Ledger Accounts, Utility Billing Accounts, and Employees. Depending on the format of the source data, gWorks will either import the data or provide instructions to the Client to manually input data. The Client is responsible for ensuring legacy data quality and accuracy prior to Onboarding Kickoff. Data quality issues may impact project timelines and system accuracy. The Client's team will review migrated data and report any identified issues for resolution.
Client onboarding utilizes the existing capabilities of our Software and does not include custom development work. This approach ensures a streamlined implementation while reducing transition complexity and future risks.
The Client's chief responsibilities during and following onboarding include but may not be limited to:
- Completing assigned tasks and checklists according to the project timeline,
- Providing accurate information and requirements in a timely manner and ensuring data quality throughout the implementation process,
- Reviewing and certifying data migration results and settings,
- Completing Education & Training,
- Using the Product(s) as designed,
- Executing the Client's workflows,
- Maintaining User access and permissions,
- Utilizing in-app and available resources to troubleshoot software issues before engaging gWorks live support,
- Onboarding and training new User(s)
- From your Employer when they provide it to us.
- Automatically when you use the Services.
- From government records and other public records.
General Onboarding Process
The typical flow of the onboarding process is as follows and will be tailored as needed:
- Pre-Onboarding Preparation - Before your onboarding begins, you will receive onboarding preparation questions and data hygiene and/or export requirements. You may be asked to provide up-to-date data as part of your setup to ensure accurate system configuration and successful implementation.
- Provisioning and Access - gWorks will provision and provide access to your gWorks Cloud software instance. Clients may navigate the software and review available resources, but should limit usage to exploration only until data migration and Education & Training are completed.
- Onboarding Kickoff - You will attend a kickoff call to establish a clear understanding of the onboarding process and timeline and review project requirements.
- Client Information Collection - The Client will complete gWorks' onboarding checklists and questionnaires to provide necessary data for applicable Cloud Hubs. gWorks will assist with data population as defined by Hub, and the Client will review and approve the populated data for accuracy before final acceptance.
- Configuration - gWorks will meet with the Client to configure certain core settings with the Client and demonstrate how configuration works for the applicable Product. Any settings not configured by gWorks become the responsibility of the Client to configure.
- Education & Training - You will receive access to gWorks' Education & Training (see below) to learn how to effectively use gWorks.
- Testing and Quality Assurance - You may be required to complete testing and QA of your system to validate functionality and data accuracy before going live.
- Go Live - Upon completing all applicable Education & Training resources, you will go live in your Software, meaning you can use it for your workflows.
Onboarding Timing
Onboarding timelines vary based on the specific products and services selected, product complexity, and whether multiple products are being implemented simultaneously. Specific schedules and milestones will be established based on the scope of work and communicated during project initiation.
gWorks Onboarding Team
gWorks will assign an Onboarding Manager to oversee the Client's implementation process, including project management, communication, software provisioning, training coordination, and data migration.
Client Onboarding Team
The Client will designate a primary point of contact to facilitate communication with the gWorks Onboarding Manager and coordinate the Client's participation in project activities and completing scheduled milestones.
Education & Training Resources
The Client will utilize gWorks' education and training resources to learn the cloud software functionality. gWorks provides comprehensive learning materials and support resources to facilitate the Client's successful adoption of the platform. These education and training resources include the following:
- gWorks University - Interactive online courses that teach users how to operate the software through hands-on learning.
- Help Docs/Knowledge Base - Self-service documentation available for all products within gWorks Cloud, covering best practices, troubleshooting, configuration guidance, and step-by-step instructions for all workflows and settings.
- Onboarding Webinars - One-hour live training sessions covering configuration, best practices, key workflows, and Q&A.
- How-To Videos - Short instructional videos demonstrating step-by-step usage of key workflows, features, and settings.
- In-App Guides - Interactive step-by-step tutorials built directly into gWorks Cloud that guide users through important workflows and configuration settings within the software interface.
